§ 1 General provisions 

1. Organizers”Congress and Festival of Psychology Re_Mind” (hereinafter referred to as:”Congress” or”The event') are:

1. SWPS University with its registered office in Warsaw, at ul. Chodakowska 19/31 (03-815 Warsaw), entered in the register of non-public universities kept by the minister responsible for higher education under no. 95, with TIN: 118-01-97-245, REGON: 011947981.

2. Municipality of Wrocław with its registered office in Wrocław, 1-8 Nowy Targ Square (50-141 Wrocław).

hereinafter collectively referred to as “" together "”organizer”.

2. The purpose of the Congress is to disseminate psychological knowledge and demonstrate its practical value in solving global, local and personal challenges. From understanding the mechanisms of human behavior, to building better relationships, to designing more sustainable communities. The Congress will include debates, workshops and other activities.

The 3rd Congress will take place from 22 to 24 June 2026 in the Centennial Hall in Wrocław at 1 Wystawowa Street (51-618 Wrocław) and in designated accompanying spaces (hereinafter collectively: “Event Zone”).

4. Whenever a document refers to masculine forms of names and expressions, they refer to both masculine, feminine and gender-neutral forms.

5. These Regulations (hereinafter: the “Regulations”) set out the rules for organizing and participating in the Congress, including the rights and obligations of the Organizer and Participants. The Terms and Conditions are available on the website https://www.re-mind.pl/

6. The Congress is not a mass event within the meaning of the provisions of the Act of 20 March 2009 on the security of mass events (i.e.: Journal of Laws 2023, item 616). 7. Each Participant is obliged to familiarize himself with the Regulations before participating in the Congress and is obliged to comply with them.

§ 2 Definitions

The definitions used in the Regulations mean:

1. Participant - a natural person participating in the Congress, who has registered or purchased a Ticket or participates in the event on the terms specified in the Regulations.

2. Speaker - person conducting a lecture, panel, workshop or other substantive activity.

3. Ticket - personal document confirming the right to participate in the Congress, issued in electronic or paper form (e.g. QR, wristband, ID). 4. Website - website maintained at https://www.re-mind.pl/ by the Organizer.

5. Sales platform - located on the website referred to above, a system enabling the registration of participants and the sale of tickets. 6. Payment operator - an intermediary entity in electronic payments.

7. User - a person using the website or sales platform. 8. Event Zone - the area where the Event takes place, in particular the area of the Centennial Hall and designated spaces located within the territorial boundaries of the Municipality of Wrocław, including entrance spaces, communication lines, catering and exhibition areas, excluding spaces and rooms reserved and appropriately marked as intended for the Organizers, including technical rooms.

9. Free entry zones - designated areas of the Event Zone, where accompanying events will take place, to which admission is possible for persons registered through the sales platform, without the need to purchase a ticket.

10. Privacy Policy - a document defining the rules for processing personal data of Users and Participants.

11. GDPR - Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of individuals with regard to the processing of personal data and on the free movement of such data and repealing Directive 95/46/EC (General Data Protection Regulation).

§ 3. Conditions of participation

1. Subject to the provisions of this paragraph, the Congress may be attended by persons of legal age, i.e. persons who have reached the age of 18 at the latest on the date of commencement of the Event and persons with full legal capacity.

2. The participation of minors, i.e. persons who have not reached the age of 18, is possible under the care of a person who meets the conditions set out in paragraph 1 and upon presentation by that person of a written declaration of consent to participate in the congress of a minor, coming from a parent or a person entitled to care for a minor Participant. The model document is annexed to these Regulations.

3. Verification of compliance with the conditions referred to in the above points will be carried out at the time of registration of admission to the Event Zone.

4. The Organizer reserves the right to introduce additional age restrictions for admission to selected elements of the Event program. Information about additional restrictions will be posted in advance in the program, on the website and in the Event Zone.

5. Participation in the Congress as a participant is possible:

1. after registration and purchase of the Ticket on the terms set out in these Regulations or

2. after registering on a sales platform allowing entry to the Free Entry Zone until the limit of seats is exhausted, or

3. on the terms set out in separate agreements.

6. Subject to the provisions concerning safety rules, it is forbidden to bring animals into the Event Zone, with the exception of dogs assisting persons with disabilities.

7. The conditions for participation in the Congress via a streaming platform are determined by the rules of this platform.

§ 4. Tickets

1. Tickets shall be in person and non-transferable, subject to paragraph 2.

2. The Participant may not transfer ownership of the Ticket to another person without the Organizer's consent. The organizer is not obliged to agree to the transfer of ownership of the ticket.

3. The organizer provides the following types of tickets:

a. Stationary ticket - allows stationary admission to the Congress with access to the entire Event Zone, after registration and purchase of the ticket through the sales platform and access to the live broadcast of the Event conducted through the streaming platform and recordings of speeches from paid zones also after the end of the event under the conditions specified in the platform regulations.

b. Online Ticket - provides access to the live broadcast of the Event conducted through the streaming platform and recordings of performances from paid zones also after the end of the event under the conditions specified in the platform regulations, after registration and purchase of the ticket through the sales platform.

4. The recordings of the performances will be available after the end of the Event for the period indicated in the rules of the streaming platform.

5. The Organizer allows stationary entry to the Free Entry Zones to participants after prior registration via https://konferencja.re-mind.pl, without the need to purchase a ticket.

6. Ticket prices will be specified on the website https://www.re-mind.pl/ 7. The cost indicated in the price list refers to participation in the Congress of one person. 8. The Organizer reserves the right to decide, at its discretion,

the introduction of other discounts, rebates or other deviations from the standard price conditions of participation in the Event specified by the above provisions. In particular, the Organizer may introduce promotional conditions for participation in the Event for certain social, professional groups or in relation to tickets distributed through certain sales channels.

9. Promotional Ticket prices are valid during the period and under the conditions indicated each time on the Website.

10. The Organizer reserves the right to make changes to Ticket prices on an ongoing basis. This entitlement does not affect orders placed before the price change.

§ 5. Conditions of registration and sale of tickets

1. Ticket sales and registration of participants are carried out through the Sales Platform https://konferencja.re-mind.pl using the order form.

2. Ticket sales and registration of participants are carried out according to the rules set out in the Ticket Sales Regulations, made available through the Sales Platform, until the limit of seats is exhausted, about which the Organizer will inform on the website.

3. Registration of participants requires the following personal data: name; surname, e-mail address (ticket will be sent to this address and other information concerning the organization of the Congress), telephone number. In addition, in the case of choosing an invoice for an institution, the Participant provides the following data to the invoice: name of the institution, address of the registered office: street, building number, premises number, postal code, city and Tax Identification Number (TIN).

4. By selecting a request to issue a VAT invoice, the Participant authorizes the Organizer to issue an electronic VAT invoice without the signature of the recipient and to send it only to the e-mail address indicated in the registration form.

5. The sales contract is concluded at the moment of payment for the tickets. 6. Until the payment for the ticket is made, the participant may cancel the order, ceasing to go through the next steps and leaving the sales platform. An order whose submission process is not completed by the User will not be executed.

7. After payment, the Participant will receive a confirmation of the transaction and the ticket in electronic form to the e-mail address indicated by the Participant in the registration form.

8. The Participant, when purchasing tickets on behalf of other Participants, is responsible for the correctness of the entered personal data of the other Participants and declares that he acts with their consent.

9. The condition for purchasing tickets is to read and accept the contents of these Regulations. By placing an order, the user accepts the content of the Terms and Conditions.

10. Pursuant to Article 38 (1) (12) of the Act of 30 May 2014 on Consumer Rights, the Organizer reserves that the participant is not entitled to return the ticket, except in the following situations:

1. cancellation of the Congress by the Organizer or

2. a material change in the date or place of the Congress.

§ 6. Methods of payment

1. In the case of ticket sales via the sales platform, the Organizer accepts only online payments via the PayU service. PayU online transfer service provider is PayU S.A., with its registered office in Poznań (60-166), at 186 Grunwaldzka Street.

2. Payment for participation in the Congress is made in Polish currency (PLN). 3. The rules for making payments through the PayU service are set out in the regulations available on the Sales Platform.

4. Before making the payment, the User should familiarize himself with the terms and conditions referred to above.

§ 7. Program of the event

1. The Organizer shapes the substantive content of the Congress at its discretion, subject to the right to change, including the expansion or limitation of any elements in the program, schedule, venue, composition of speakers, formula (fixed/online/hybrid), as well as restriction or extension of access to streaming, while maintaining substantive value.

2. The Organizer does not guarantee the participation of specific persons or entities in the Congress, does not provide specific program content.

3. In the Event Zone, image and sound recording (recordings, broadcasts, photography) may be carried out by the Organizer or authorized entities. 4. Participants are informed about changes by means of messages via the Website, a dedicated mobile application, in e-mail correspondence or stationary in the Event Zone.

§ 8. Safety rules

1. Entry to the Event Zone is required to show a valid ticket or accreditation and collect an ID/wristband. The condition for admission to the Free Entry Zone is to present the confirmation of registration referred to in § 4 paragraph 4 of these Regulations. Each participant is obliged to wear a badge/wristband in a place visible to the Organizer. Each participant is obliged to present a confirmation of registration or an ID/wristband, each time at the request of the Organizer, throughout the duration of the Congress. The absence of the documents referred to in the preceding sentences authorizes the Organizer to expel the Participant from the Event Zone. The participant may not give his ID/wristband or registration confirmation to another person. The organizer can use a system of name identifiers and QR verification.

2. In the event that restrictions on the organization of conferences and congresses are introduced on the basis of the provisions of the law, the Organizer reserves the right to present additional documents upon accreditation of participation in the Congress in stationary form, to the extent that this will be in accordance with the aforementioned provisions of law, which may include in particular the current vaccination certificate.

3. In the Event Zone, health and safety regulations and the regulations of facilities falling within the scope of the Event Zone apply.

4. The participant should follow the evacuation procedures and orders of the emergency services.

5. The organizer may introduce security checks (baggage inspection, metal detectors), as well as refuse to bring items deemed dangerous or burdensome.

6. It is forbidden to block escape routes, manipulate installations and bring sound devices without the Organizer's consent.

7. Subject to the safety rules and cleaning regulations of facilities within the scope of the Event Zone, it is forbidden to bring animals into the facilities falling within the scope of the Event Zone, with the exception of dogs assisting persons with disabilities.

8. The Organizer provides medical security during the Congress and takes measures for the safety of the Participants.

9. Each Participant is obliged to:

a. to behave in a manner that does not endanger the safety of other Participants, to comply with the health and safety regulations and the rules of order in force in the Event Zone, to respect the good manners and dignity of other persons,

b. not to bring or carry dangerous objects, explosives, pyrotechnics, weapons including firearms, narcotics, alcohol and beverages in glass containers into the Event Zone,

c. to comply without delay with the instructions of the Organizer, law enforcement services, security and technical communications,

d. failure to adjust and unblock exits and escape routes and other equipment necessary in the event of a rescue or firefighting operation during the Congress

e. carrying an identity document for the purpose of verifying the name and surname on the ticket/accreditation or confirmation of registration.

10. The Organizer may refuse entry or remove from the Event Zone a person violating the Regulations, posing a threat to security or order - without the right to refund the ticket price.

§ 9. Image and personal data of participants

1. Each participant staying in the Event Zone and/or in the Free Admission Zone agrees to the fixation of his image free of charge in the form of photographs and audio or audio-video recordings made during the event by the Organizer and entities acting on their behalf.

2. By purchasing a ticket or registering via the sales platform, each participant staying in the Event Zone and/or in the Free Admission Zone, agrees to the dissemination free of charge of the fixed image (including in the form of video and photo coverage) for promotional, informational, documentary purposes of the Congress and mass media, including press materials, on the websites online, on social media and in the relations of media partners - in a context consistent with the nature of the event, without the right to additional wages.

3. The individual data controllers in the co-administration of participants' data are:

a. SWPS University (ul. Chodakowska 19/31, 03-815 Warsaw); b. Municipality of Wrocław with its seat in Wrocław, 1-8 Nowy Targ Square (50-141 Wrocław).

4. The Joint Administrators have concluded an agreement, the content of which is available at: https://www.re-mind.pl/. This agreement indicates the role of the personal data controllers and the responsibility, as well as the conditions for the processing of personal data of the Participants.

5. The Joint Administrators will process the personal data of persons reporting their participation as a participant and participants for the purposes of enabling participation in the Festival with the consent of these persons, for the purpose of fulfilling the obligations arising from the provisions of tax law regarding the settlement of the ticket fee and for security purposes in accordance with the legitimate interest.

§ 10. Responsibility of the Organizer and the Participant

1. The Organizer shall not be liable for items left or lost by the Participants on the premises of the Congress, unless otherwise follows from the mandatory provisions of the law.

2. The Organizer shall not be liable for damages caused to the Participant resulting from acts of force majeure.

3. The Organizer is not responsible for failure to perform or improper performance of obligations caused by independent circumstances (e.g. natural disasters, accidents, decisions of the authorities, security threats). In this case, the Organizer may change the date, formula or program of the Congress.

4. In the event that restrictions on the organization of conferences and congresses are introduced on the basis of the provisions of the law, assuming a reduction in the possible number of Congress Participants at the place of its implementation, the Organizer will inform the recently registered participants about a possible change of the form of participation from stationary to online. The number of people participating on a stationary basis will depend on the regulations currently in force. In the case of changing the form of participation from stationary to online, the order of registration will be decisive. If the change of the form of participation from stationary to online takes place on the basis of the decision of the Organizer, the Organizer will refund the Participant the difference in price in accordance with the applicable price list. Apart from the reimbursement referred to in the preceding sentence, the Participant shall not have any claims against the Organizer (e.g. reimbursement of expenses incurred in connection with transportation or accommodation).

5. The Organizer is not responsible for statements and presentations presented during the Congress program events.

6. The Organizer does not cover the costs of transport, accommodation and meals of the participants of the Congress.

7. In the event of the conditions referred to in § 5 paragraph 10 of these Regulations, the Organizer shall not be liable for compensation for the costs incurred by the participant of travel or travel to the venue of the Event.

8. The Participant is liable for damages caused to third parties, to the property of the Organizer or to any object located in the Event Zone - in general terms.

9. Under the above rules, the Participant is also liable for damages caused by minors under the care of the Participant in the Event Zone and for damages caused by animals referred to in § 3 paragraph 6 and § 8 paragraph 7.

§ 11. Copyright and recording rules

1. The content presented during the Congress (speeches, presentations, materials) is protected by copyright. Their use by Participants is permitted only for permitted personal use, unless the Speaker/Organizer expressly provides otherwise.

2. Recording (audio/video), photographing and broadcasting by Participants of speeches and workshops is permitted, provided that it is done within the permitted personal use, except for clearly marked panels,

during which there will be a total ban on recording (audio/video), photographing and broadcasting.

3. The organizer may provide post-conference materials in case of purchase of the appropriate ticket.

§ 12. Complaints

1. The Participant may submit complaints regarding material non-compliance with the contract regarding the organization and conduct of the Congress or the handling of ticket sales within 14 days from the end of the Congress. The date of submission of the complaint is considered to be the date of receipt of the complaint to the Organizer. Complaints submitted after the deadline indicated above will not be considered.

2. Complaints must be submitted:

1. in writing to the address: SWPS University, ul. Chodakowska 19/31, 03-815 Warsaw (with the note “Re_Mind - complaint”), or

2. by email to the following address: contact@re-mind.pl

In the content of the complaint, please indicate the data identifying the ticket/registration and a description of the event.

3. The Organizer shall consider the complaint within 14 days from the date of its delivery. The Participant will be informed about the result in a manner corresponding to the form of filing a complaint.

§ 13. Final provisions

1. The Regulations come into force on the day of publication and are valid until further notice. 2. The current content of the Regulations is available on the website and in the Event Zone.

3. The Organizer reserves the right to change the Terms and Conditions. The changes come into force upon publication on the website, respecting the acquired rights of the Participants.

4. In matters not regulated by the Regulations, the laws generally applicable in the territory of the Republic of Poland and the provisions of local law applicable to the Event Zone and/or the Free Entry Zone apply. 5. Contact in organizational matters: contact@re-mind.pl
