§ 1 General Provisions 

‍

1. The organizers of the "Re_Mind Psychological Congress and Festival" (hereinafter referred to as: "Congress" or "Event") are: 

1. SWPS University with its registered office in Warsaw, at ul. Chodakowska 19/31 (03-815 Warsaw), entered in the register of non-public higher education institutions maintained by the minister responsible for higher education under number 95, holding tax identification number (NIP): 118-01-97-245, REGON: 011947981. 

2. Municipality of Wrocław with its registered office in Wrocław, pl. Nowy Targ 1-8 (50-141 Wrocław). 

3. Telewizja Polska S.A. in liquidation, with its registered office in Warsaw, at 17 J.P. Woronicza Street, 00-999 Warsaw, entered in the Register of Entrepreneurs of the National Court Register under KRS No. 0000100679, maintained by the District Court for the Capital City of Warsaw in Warsaw, 13th Commercial Division of the National Court Register, NIP: 521-04-12-987. 

hereinafter collectively referred to as the "Organizer". 

2. The purpose of the Congress is to disseminate psychological knowledge and demonstrate its practical value in solving global, local, and personal challenges. From understanding the mechanisms of human behavior, through building better relationships, to designing more sustainable communities. The Congress will include, among others, debates, workshops, and other activities. 

3. The Congress will take place on June 22–24, 2026, at Centennial Hall in Wrocław at ul. Wystawowa 1 (51-618 Wrocław) and in designated accompanying spaces (hereinafter collectively: "Event Zone"). 

4. Whenever masculine forms of names and terms are used in this document, they refer equally to masculine, feminine, and gender-neutral forms. 

5. These regulations (hereinafter: "Regulations") define the principles of organization and participation in the Congress, including the rights and obligations of the Organizer and Participants. The Regulations are made available on the website https://www.re-mind.pl/ 

6. The Congress is not a mass event within the meaning of the Act of March 20, 2009 on the safety of mass events (consolidated text: Journal of Laws 2023, item 616). 7. Each Participant is obliged to familiarize themselves with the Regulations before participating in the Congress and is required to comply with them.

§ 2 Definitions 

‍

Definitions used in the Regulations mean: 

1. Participant - a natural person participating in the Congress who has registered or purchased a Ticket or is participating in the event under the terms specified in the Regulations.

2. Speaker - a person conducting a lecture, panel, workshop, or other substantive activity. 

3. Ticket - a personalized document confirming entitlement to participate in the Congress, issued in electronic or paper form (e.g., QR code, wristband, badge). 4. Website - the website operated at https://www.re-mind.pl/ by the Organizer. 5. Sales Platform - the system located on the above-mentioned website that enables participant registration and ticket sales. 

6. Payment Operator - an entity intermediating in electronic payments. 7. User - a person using the website or sales platform. 

8. Event Zone - the area where the Event takes place, in particular the area of Centennial Hall and designated spaces located within the territorial boundaries of the Municipality of Wrocław, including entrance areas, communication routes, catering and exhibition zones, excluding spaces and rooms reserved and appropriately marked as intended for Organizers, including, among others, technical rooms. 

9. Free Entry Zones - designated areas of the Event Zone where accompanying events will take place, to which entry is possible for persons registered via the sales platform, without the need to purchase a ticket. 

10. Consumer - means a consumer in accordance with the definition contained in Article 22(1) of the Civil Code. 

11. Privacy Policy - a document defining the principles of processing personal data of Users and Participants. 

12. GDPR - Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC (General Data Protection Regulation).

§ 3. Conditions of Participation 

‍

1. Subject to the provisions of this section, the Congress may be attended by adults, i.e., persons who have reached the age of 18 at the latest on the day the Event begins, and persons with full legal capacity. 

2. Participation of minors, i.e., persons who have not reached the age of 18, is possible under the supervision of a person meeting the conditions specified in section 1 and after that person presents a written statement of consent for the minor's participation in the congress, originating from the parent or person authorized to care for the minor Participant. A model document is attached to these regulations. 

3. Verification of compliance with the conditions referred to in the above points will be carried out at the time of entry registration to the Event Zone. 

4. The Organizer reserves the right to introduce additional age restrictions for entry of minors to selected elements of the Event program. Information about additional restrictions will be posted in advance in the program, on the website, and in the Event Zone. 

5. Participation in the Congress as a participant is possible: 

1. after registration and purchase of a Ticket under the terms specified in these Regulations or 

2. after registration on the sales platform enabling entry to the Free Entry Zone until the limit of places is exhausted or 

3. under the terms specified in separate agreements.

6. Subject to provisions concerning safety rules in the Event Zone, it is prohibited to bring animals, except for assistance dogs for persons with disabilities. 7. The conditions for participating in the Congress via the streaming platform are determined by the regulations of that platform.

§ 4. Tickets 

‍

1. Tickets are personalized and non-transferable, subject to section 2. 2. A Participant may not transfer ownership of a ticket to another person without the Organizer's consent. The Organizer is not obliged to consent to the transfer of ticket ownership. 

3. The Organizer offers only on-site tickets, which entitle the holder to attend the Congress in person and access the entire Event Zone, subject to registration and ticket purchase through the designated ticketing platform. Such tickets also provide access to the live stream of the Event via the streaming platform, as well as recordings of sessions held in paid-access zones for which streaming and recording have been made available. Access to such recordings may also be provided after the Event, subject to the terms and conditions of the streaming platform. 

4. The Organizer reserves the right to restrict the recording and live streaming of certain sessions held in paid-access zones, including, in particular, sessions for which a complete prohibition on recording and photography applies. Recordings of the remaining sessions will be made available after the Event for the period specified in the terms and conditions of the streaming platform. 

5. The Organizer enables on-site entry to Free Entry Zones for participants after prior registration via https://konferencja.re-mind.pl, without the need to purchase a ticket. 6. Ticket prices will be specified on the website https://www.re-mind.pl/ 7. The cost indicated in the price list applies to one person's participation in the Congress. 

8. The Organizer reserves the right to decide, at its discretion, to introduce other discounts, rebates, or other deviations from standard pricing conditions for participation in the Event as specified in the above provisions. In particular, the Organizer may introduce promotional conditions for participation in the Event for specific social or professional groups, or with respect to tickets distributed through specific sales channels. 

9. Promotional ticket prices are valid for the period and under the conditions specified each time on the Website. 

10. The Organizer reserves the right to make ongoing changes to Ticket prices. This right does not affect orders placed before the price change.

§ 5. Registration and Ticket Sales Conditions 

‍

1. Ticket sales and participant registration take place via the Sales Platform https://konferencja.re-mind.pl using an order form. 

2. Ticket sales and participant registration are conducted under the terms specified in the Ticket Sales Regulations, made available via the Sales Platform, until the limit of places is exhausted, about which the Organizer will inform on the website. 

3. Participant registration requires providing the following personal data: first name; last name, email address (to this address the ticket and other information concerning the organization of the Congress will be sent), telephone number. In addition, if an

invoice for an institution is selected, the Participant provides the following invoice data: institution name, registered office address: street, building number, apartment number, postal code, city, and Tax Identification Number (NIP). 

4. Issuance of a VAT invoice for purchased tickets occurs exclusively upon the User's request indicated in the order placement process and subject to the User providing data necessary to issue a VAT invoice. 

5. For consumers and foreign entrepreneurs who do not have a Polish tax identification number (NIP), a VAT invoice will be issued in electronic form and delivered to the electronic address indicated by the User in the order placement process. 

6. For Entrepreneurs, a VAT invoice will be issued within the time limit provided by the provisions of the VAT Act and delivered using the National e-Invoice System. 7. The VAT invoice will be issued by the Organizer. 

8. The sales contract is concluded upon payment for tickets. 

9. Until payment for the ticket is made, the participant may cancel the order by ceasing to proceed through subsequent steps and leaving the sales platform. An order whose placement process is not completed by the User will not be executed. 

10. After payment, the Participant will receive transaction confirmation and a ticket in electronic form at the email address indicated by the Participant in the registration form. 

11. A person purchasing tickets on behalf of other Participants is responsible for the correctness of the entered personal data of other Participants and declares that they act with their consent. 

12. A condition for purchasing tickets is familiarization with the content of these Regulations and its acceptance. By placing an order, the user accepts the content of the Regulations.

§ 6. Conditions for Withdrawal from Contract 

‍

1. A Participant who is a consumer has the right, within 14 days from the date of ticket purchase, to withdraw from the contract without giving a reason. For this purpose, they may use the model statement constituting Annex No. 2 to these regulations. To meet the deadline referred to in the preceding sentence, it is sufficient for the Participant to send the withdrawal statement to the Organizer's registered office referred to in § 1 section 1 point 1 before the expiry of this deadline. 

2. The withdrawal statement referred to in the above section may also be submitted electronically to the address contact@re-mind.pl. 

3. In accordance with the provision of Article 38 section 1 point 1 of the Act of May 30, 2014 on consumer rights, the right to withdraw from a contract concluded outside the business premises or at a distance does not apply to consumers with respect to contracts for the provision of services for which the consumer is obliged to pay a price, if the entrepreneur has fully performed the service with the express and prior consent of the consumer, who was informed before the commencement of the service that after the entrepreneur has performed the service they will lose the right to withdraw from the contract, and has acknowledged this fact. 

4. The Organizer shall refund the amount to the Participant no later than within 14 days from the date of receipt of information about withdrawal from the contract, in the same manner in which the Participant paid for the order.

5. The provisions concerning consumers contained in this section also apply to natural persons concluding a contract directly related to their business activity, when it appears from the content of this contract that it does not have a professional character for that person, resulting in particular from the subject of their business activity, made available on the basis of regulations on the Central Register and Information on Economic Activity. 

6. Detailed information on the possibility of using out-of-court methods of processing complaints and pursuing claims by the Consumer or Consumer-Entrepreneur, as well as the rules of access to these procedures, are available at the offices and on the websites of district (municipal) consumer ombudsmen, social organizations whose statutory tasks include consumer protection, Provincial Inspectorates of the Trade Inspection, and on the website of the Office of Competition and Consumer Protection.

§ 7. Payment Methods 

‍

1. In the case of Ticket sales via the sales platform, the Organizer accepts only online payments via the PayU service. The provider of PayU online transfer services is PayU S.A., with its registered office in Poznań (60-166), at ul. Grunwaldzka 186. 

2. Payment for participation in the Congress is made in Polish currency (PLN). 3. The rules for making payments via the PayU service have been specified in the regulations available on the Sales Platform. 

4. Before making payment, the User should familiarize themselves with the regulations referred to above.

§ 8. Event Program 

‍

1. The Organizer shapes the substantive content of the Congress at its own discretion, subject to the right to make changes, including expanding or limiting elements in the program, schedule, or speaker lineup, while maintaining substantive value, in particular maintaining the purpose and idea of organizing the event. 

2. Due to the nature and size of the Event, the Organizer reserves that individual program elements, including the speaker lineup, may be subject to change. 3. The recording of image and sound within the Event Zone, including video recording, live streaming, and photography, may be conducted solely by the Organizer or entities authorized by the Organizer. 

4. Participants are informed about changes in the program, schedule, or speaker lineup through announcements via the Website, dedicated mobile application, email correspondence, or on-site in the Event Zone.

§ 9. Safety Rules 

‍

1. A condition for entry to the Event Zone is presentation of a valid ticket or accreditation and collection of a badge/wristband. A condition for entry to the Free Entry Zone is presentation of registration confirmation referred to in § 4 section 4 of these Regulations. Each participant is required to wear the badge/wristband in a place visible to the Organizer. Each participant is required to present registration confirmation or badge/wristband, each time at the Organizer's request, throughout the duration of the Congress. Lack of the documents referred to in the preceding

sentences authorizes the Organizer to ask the Participant to leave the Event Zone. A Participant may not transfer their badge/wristband or registration confirmation to another person. The Organizer may use a system of personalized badges and QR verification. 

2. In the event that restrictions on the organization of conferences and congresses are introduced based on legal provisions, the Organizer reserves the possibility of requiring the presentation of additional documents when accrediting on-site participation in the Congress, to the extent consistent with the aforementioned legal provisions, which may include, in particular, a current vaccination certificate. 

3. Health and safety and fire protection regulations apply in the Event Zone, as well as the regulations of facilities within the scope of the Event Zone. 

4. Participants should follow evacuation procedures and instructions from services in emergency situations. 

5. The Organizer may introduce security checks (baggage inspection, metal detectors), and also refuse entry of items deemed dangerous or burdensome. 

6. It is prohibited to block evacuation routes, tamper with installations, or bring in sound amplification devices without the Organizer's consent. 

7. Subject to safety rules and internal regulations of facilities within the scope of the Event Zone, it is prohibited to bring animals into facilities within the scope of the Event Zone, except for assistance dogs for persons with disabilities. 

8. The Organizer provides medical security during the Congress and takes actions to ensure the safety of Participants. 

9. Each Participant is required to: 

a. behave in a manner that does not endanger the safety of other Participants, comply with health and safety and fire protection regulations and internal regulations in force in the Event Zone, respect good customs and the dignity of other persons, 

b. not bring and not carry into the Event Zone dangerous items, explosive materials, pyrotechnics, weapons including firearms, intoxicating substances, alcohol, and beverages in glass containers, 

c. immediately comply with instructions from the Organizer, security services, guards, and technical announcements, 

d. not block or obstruct exits and evacuation routes and other devices necessary in case of conducting rescue or firefighting operations during the Congress, e. carry an identity document for verification of the name on the ticket/accreditation or registration confirmation. 

10. The Organizer may refuse entry or remove from the Event Zone a person who violates the Regulations, poses a threat to safety or order.

§ 10. Participant Personal Data 

‍

1. The controller of the personal data of Event participants is SWPS University (19/31 Chodakowska Street, 03-815 Warsaw, Poland). 

2. The Controller shall process the personal data of individuals registering for participation in the Event and of participants for the purpose of enabling their participation in the Event based on their consent, for the purpose of fulfilling obligations arising from tax regulations in connection with the settlement of ticket fees, and for security purposes based on the Controller’s legitimate interest.

§ 11. Liability of Organizer and Participant 

‍

1. The Organizer is not liable for items left or lost by Participants at the Congress venue, unless otherwise provided by mandatory legal provisions. 

2. The Organizer is not liable for non-performance or improper performance of obligations caused by independent circumstances constituting force majeure (e.g., natural disasters, failures, decisions of authorities, security threats). In such a case, the Organizer may change the date, format, or venue of the Congress while retaining the right to withdraw from the Contract for participation in the Event. 

3. In the event that restrictions on the organization of conferences and congresses are introduced based on legal provisions assuming a reduction in the possible number of Congress Participants at its venue, the Organizer will inform the last registered participants of a possible change in the form of participation from on-site to online. The number of persons participating on-site will depend on currently applicable regulations. In case of changing the form of participation from on-site to online, the order of registration will be decisive. If the change in form of participation from on-site to online occurs based on the Organizer's decision, the Organizer will refund the Participant the difference in price according to the applicable price list. Apart from the refund referred to in the preceding sentence, the Participant has no claims against the Organizer (e.g., for reimbursement of costs incurred in connection with transportation or accommodation). 

4. The Organizer is not liable for statements and presentations made during the Congress program events. 

5. The Organizer does not cover the costs of transportation, accommodation, and meals for Congress participants. 

6. A Participant is liable for damages caused to third parties, to the Organizer's property, or to any facility located in the Event Zone - on general principles. 7. On the above principles, a Participant is also liable for damages caused by minors under the Participant's care in the Event Zone and for damages caused by animals referred to in § 3 section 6 and § 8 section 7.

§ 12. Copyright and Recording Rules 

‍

1. Content presented during the Congress (statements, presentations, materials) is protected by copyright law. Their use by Participants is permitted only for permitted personal use, unless the Speaker/Organizer expressly provides otherwise. 

2. The recording (audio and/or video) and live streaming of presentations, panel discussions, and workshops by Participants is strictly prohibited. The Organizer permits photography solely for personal, non-commercial use, except during clearly designated sessions where a complete prohibition on audio/video recording, photography, and live streaming applies. 

3. The Organizer reserves the right to make post-event materials available after the Event.

§ 13. Complaints 

‍

1. A Participant may file complaints concerning significant non-compliance with the contract regarding the organization and course of the Congress or ticket sales service within 14 days from the end of the Congress. The deadline for filing a complaint is considered met if it is filed by the Participant within the indicated deadline at a post office of a postal operator within the meaning of the Act of November 23, 2012 - Postal Law, or sent via an entity providing courier services, or sent via email to the address indicated by the Organizer. Complaints sent after the expiry of the indicated deadline will not be considered. 

2. The complaint should be submitted: 

1. in writing to the address: SWPS University, ul. Chodakowska 19/31, 03-815 Warsaw (with the note "Re_Mind - complaint"), or 

2. by email to the address: contact@re-mind.pl 

In the content of the complaint, please provide data identifying the Ticket/registration and a description of the incident. 

3. The Organizer processes complaints within 14 days from the date of their delivery. The Participant will be informed of the outcome in a manner corresponding to the form of filing the complaint.

§ 14. Final Provisions 

‍

1. The Regulations enter into force on the date of publication and remain in force until revoked. 

2. The current content of the Regulations is available on the website and in the Event Zone. 

3. The Organizer reserves the right to amend the Regulations for important reasons, to the extent permitted by applicable regulations and in a manner that does not violate the vested rights of Participants, including in the case of: (a) the need to introduce technical or functional changes to the Website; (b) the need to introduce changes to the event program or for security reasons; (c) changes to applicable legal provisions affecting the provisions of the Regulations. Changes enter into force on the date indicated in the information about the change provided by the Organizer, but no earlier than before the delivery of information about the change to the User, with respect for the vested rights of Participants. 

4. No provision of the Regulations may be understood as excluding or limiting consumer rights. 

5. In matters not regulated by the Regulations, the generally applicable provisions of law in the territory of the Republic of Poland and local law provisions applicable to the Event Zone and/or Free Entry Zone shall apply.
